Prospect Email: No Estimate
This particular automated email is for prospects who you have added to The Customer Factor but you have not created any estimate for them. It's a way to quickly add someone and trigger an email to be sent to them thanking them for the opportunity to be of service. It can be a result of your advertising campaign, email blasts, etc.
So let's start by visiting the email automation screen.
Scroll down until you get to the "Prospects" section. It's the first rule listed in this section and says "After initial Contact (no estimate)".
To back up for a second, the sending time for all 3 prospect rules in this area is at the top of the area. The default time is 7am. Most users choose that time but you can also select choose 10am, 3pm, or 5pm to send prospect emails.
To continue on, you'll see an "immediately" option or "x days after" option, so pick your preference. "Immediately" is the default because it makes the most sense. For example, the sample email we have created for this prospect rule is this:
Thank you for the opportunity to provide our services to you. Clearly Services is committed to your complete satisfaction so we look forward to working with you. We'll contact you shortly but if you have any questions in the meantime about our company, our staff, and/or the services we provide, please call us at 555-555-5555. Thank you once again for the opportunity to provide our services to you. Take care and have a great day!
If you want to exclude certain types of prospects from receiving this email we have an exclusive option for you. For example, maybe you want to send this email to "All Prospects" but you don't want property managers to receive it. All you do is select "yes" next to "Exclude" and choose "Property Managers" in the "By Type" dropdown.
Next, you can click on the "sample initial contact email" as shown here:
You can edit this email to better fit your needs or use it "as is". In the screenshot below please note the arrows pointing to the email message, subject field and the two "Personalize" dropdowns. If you have your cursor in the editor the "Personalize" dropdown above the editor becomes active and if you have your cursor in the subject field then the "Personalize" dropdown to the right of the subject field becomes active. Within these dropdowns, you can select "tokens" that allow you to completely personalize the email that is being sent.
If you're happy with the email, click the "save and activate" button at the bottom of the window as shown in the above screenshot to activate the email. And then please make sure to click the "Update" button at the bottom of the "Prospects" section to save your overall selections for this Prospect "After initial contact (no estimate)" email.
Best regards,
