Importing from QuickBooks Online in TCF

Importing data from QuickBooks Online to The Customer Factor is a seamless process that allows you to bring over essential information like customers, invoices, payments, estimates, and job types.

Follow these steps for a quick and easy transfer:


Access QuickBooks Screen:

  • Go to "Business Center" on the left navigation panel and click "QuickBooks Sync".

Enable Data Transfer:

  • On the QuickBooks screen, locate and check the "Enable the transfer of data" checkbox.

Sales Tax Configuration (Optional):

  • If you charge sales tax, select "Yes" to enable sales tax configuration.

Set Export "From" Date:

  • Specify an "Export from" date, and we suggest using the current date. After the import, if you plan to export from CF to QBO, ensuring the "Export from" date is correctly set helps avoid duplication. We highly recommend using the current date for this purpose.

Confirm Customer Name Display:

  • Confirm how customer names display in QuickBooks Online ("Last name, First name," "Last Name First Name," or "First Name Last name").
  • Check the proper transfer option in The Customer Factor to align with the display format in QuickBooks Online.

Save and Initiate QuickBooks Connect:

  • Click "Save" to save your configuration.
  • Click the "click here" whichever is applicable to connect your QucikBooks.

Authorize Connection with QuickBooks Online:

  • A window will open, prompting you to log into QuickBooks Online.
  • Authorize the connection by clicking the blue "Connect" button.
  • If you're already logged into QuickBooks Online, simply click "Connect".

Initiate Data Import:

  • Once authorized, the window will close, and you'll be asked if you want to import your data.
  • Select "yes" and choose the number of years (1, 2, or 5) you want to import.
  • Click the "click the import" link to start the import process.

Monitor Import Progress:

  • Wait for the import to finish. The system will continue to transfer data until everything is imported.
  • Check the status, and when it's done, it will display "All data is imported".

And there you have it! All information, including customers, invoices, payments, estimates, and job types, will seamlessly transfer into CF as detailed earlier. We recommend waiting for the import process to complete before engaging in any activities within The Customer Factor.
